Audiovisual Equipment For  Conventions

 The advancement of technology has provided convention presenters with a variety of presentation options.  Although these presentations offer visual benefits to convention attendees, the end result is higher convention expenses for the association.  An association can spend as much on their audiovisual equipment during a convention, as they do for the convention meeting space and amenities.

 Controlling the expenses for audiovisual can be difficult while trying to provide quality presentations. When choosing a convention site, the audiovisual expenses should be considered in the evaluation of a site.  Make sure you understand your association’s options for audiovisual equipment and the related costs.  Determine if the site you are using has an in house audiovisual department or is outsourced to a vendor.  Inquire if you are bound to use their audiovisual department, or if you can contract with an outside vendor.  Understand what you are paying for, and who will be servicing the equipment during the convention. 

Once your association has chosen the site for the convention, negotiate an audiovisual contract in addition to a site contract.  Request an audiovisual contract guaranteeing today’s prices for two to three years in advance.  Also stipulate in the contract that as audiovisual equipment prices are reduced, your price is also reduced.  (This is important for audiovisual equipment that begins at a high price, and slowly reduces in price as the technology becomes more efficient.)
